22 Automotive BDC Scripts & Templates - Free and Copy-Paste
22 free automotive BDC scripts and templates for car dealerships - phone call scripts, text and email follow-ups, trade-in appraisal follow-ups, credit-challenged lead scripts, a proven 14-day cadence, and word-for-word objection rebuttals - pulled from the exact language 7Social Automotive uses to book showroom appointments every day. No email signup: copy one, swap in your dealership name and unit details, and send it in the next five minutes.
Call Scripts
Best practice: call within 5 minutes of the lead landing, and always open with the shopper's name and the exact unit they asked about. Keep the first call under 90 seconds, ask one question at a time, and finish every call with two specific appointment times instead of an open-ended "when works for you". Leave a voicemail on attempt one, then follow it with a text so the shopper has your number in writing.
First-call script - fresh internet lead (under 5 minutes)
Use the moment a web/Marketplace/AutoTrader lead comes in. Goal: confirm interest and set a same-day or next-day appointment.
Hi {first_name}, this is {agent} over at {dealership}. I'm calling because you just looked at the {year} {make} {model} on our site - am I catching you at an okay time?
(If yes) Awesome - I want to make sure that one's still here for you. Quick question: are you looking to drive it this week, or more in the next couple weeks?
(Either answer) Got it. I have a couple slots open today at {time1} and tomorrow at {time2} - which works better? I'll have the {model} pulled up front, gassed and ready when you walk in, and I'll text you my direct line so you can reach me on the way.Pro tips
- Use the customer's name within the first 7 seconds.
- Always offer two specific times - never 'when are you free?'
- Confirm the exact VIN is available before you hang up.
Voicemail - no-answer on first call
Leave on the very first no-answer. Short, specific, ends with a reason to call back.
Hey {first_name}, this is {agent} at {dealership} - I saw you were looking at the {year} {make} {model}. Quick reason for the call: I wanted to make sure that one's still available for you and let you know we just had {one specific reason - price drop, new incentive, trade-in offer}. Text or call me back at {phone}, I'm here until {time}.Trade-in inquiry - call script
Lead requested a trade appraisal. Goal: get them in for an in-person appraisal (always worth more in person).
Hi {first_name}, {agent} at {dealership}. Got your request on the {trade_year} {trade_make} {trade_model} - appreciate you sending that over.
I can give you a ballpark right now, but to put a real number in writing I'll need 10 minutes to look at it in person. Most of our customers end up {$500 - $1,500} above the online estimate once we see it. Want to swing by today around {time1} or tomorrow at {time2}?First-call script - credit-challenged / subprime lead
Lead came in through a credit application or 'bad credit OK' ad. Goal: build trust, gather what the lender needs, set the appointment.
Hi {first_name}, this is {agent} at {dealership} - thanks for sending your application over. Before anything else: I am not calling to tell you no. We work with {lender_count} lenders, including a few that look at income and stability more than the score itself.
To get you a real answer instead of a guess, I need three things: about what your monthly income looks like, how long you have been at your job, and what you can put down. (Listen. Do not judge, do not react.)
Perfect - that is enough for me to get you in front of the right lender. Bring your most recent pay stubs, a proof of residence, your driver's license, and your down payment when you come in, and we will know exactly where you stand the same day. Does {time1} or {time2} work better?Pro tips
- Never say approved, guaranteed, or promise a rate before the lender answers.
- Ask for the document list once, in one message, so the visit is productive.
- Tone matters more than words here - most of these shoppers have already been embarrassed once.
Text Templates
Best practice: keep dealership texts under 300 characters, one question per message, and always sign with the store name so it does not read like spam. Send the first text inside 60 seconds of the lead, then vary the time of day on later touches. Never send more than two unanswered texts in a row, and stop immediately on any opt-out word.
Text 1 - immediate (within 60 seconds of lead)
Sent automatically the moment a lead submits, before the first call attempt.
Hi {first_name}, this is {agent} at {dealership} - I just got your request on the {year} {make} {model}. I'm pulling it up now. What's the best time to call you in the next 30 min?Text - same-day appointment confirmation
Send 2 - 4 hours before a confirmed appointment to slash no-shows.
Hey {first_name}! Just confirming our {time} today at {dealership} for the {year} {make} {model}. I'll have it parked out front with my card on the dash. Reply Y to confirm, or text me if anything changes - {agent}, direct: {phone}.Text - gentle no-show follow-up
Send within 30 minutes of a missed appointment. No guilt - give an easy reschedule path.
Hi {first_name}, didn't see you make it in - totally happens, life gets busy. The {model} is still here for you. Want to grab a spot tomorrow morning or evening? I'll work around your schedule.Text - price drop / new incentive re-engagement
Reach back to leads aged 14 - 60 days when something materially changes.
Hey {first_name}, {agent} at {dealership}. The {year} {make} {model} you looked at just had a price adjustment - it's now {$X,XXX} less than when you inquired. Worth a quick look this week?Trade-in follow-up text - online appraisal, no reply
Shopper used the trade tool but never answered. Goal: get the vehicle in front of a used-car manager.
Hi {first_name}, {agent} at {dealership}. Your {trade_year} {trade_make} {trade_model} came back at {online_estimate} online, but that number is generated off mileage alone. Our used-car manager can put a real written offer on it in about 10 minutes, and it is good for 7 days whether you buy from us or not. Would {time1} today or {time2} tomorrow work to swing it by?Pro tips
- Always separate the trade offer from the purchase - it removes the pressure and raises show rate.
- Say the written offer is good for 7 days so there is a reason to come in now.
Text - credit-challenged document checklist
Send right after the first call so the shopper arrives with everything the lender needs.
{first_name}, here is the short list so we can get a real answer in one visit at {dealership}: 1) last 2 pay stubs, 2) proof of address (utility bill or lease), 3) driver's license, 4) whatever you plan to put down. That is it. I have you down for {time1} - reply Y and I will have everything started before you get here. - {agent}Email Templates
Best practice: write the subject line like a person, not a campaign, and put the unit, price context, and one clear next step in the first two lines. Attach or link real photos and a walkaround video, keep the body under 150 words, and use a single call to action so the reply path is obvious on a phone.
Email - Day 1 with photos and walkaround video
Send within 10 minutes of the lead if you can't reach by phone. Include photos and a short video - emails with video have 2 - 3× higher reply rates.
Subject: Your {year} {make} {model} - photos + a quick walkaround inside
Hi {first_name},
Thanks for reaching out about the {year} {make} {model}. I wanted to make sure you had everything in one place:
• Walkaround video: {video_link}
• Full photo set + Carfax: {vdp_link}
• Out-the-door price worksheet: attached
A couple things worth mentioning:
1. {feature_1}
2. {feature_2}
3. {current_incentive}
What's your best number to reach you on, and what's a good 10-minute window today or tomorrow? Happy to do a live video tour if you'd rather start there.
- {agent}
{dealership} | {phone} | {email}Email - Day 7 soft check-in
Use on aged leads that went cold. Short, value-add, no pressure.
Subject: Quick check-in on the {model}
Hi {first_name},
Just wanted to circle back. The {year} {make} {model} you looked at is still on the lot, and I held back a couple of {trim} units in case you wanted to compare.
If you've already found something, no problem - just reply 'all set' and I'll close the loop. Otherwise, I'd love 5 minutes to answer anything you're still weighing.
- {agent}Trade-in follow-up email - real numbers, no pressure
Day 2 follow-up on an appraisal request that went quiet. Give real market context instead of another 'checking in'.
Subject: Written offer on your {trade_year} {trade_make} {trade_model}
Hi {first_name},
Here is where your trade sits today:
• Online estimate: {online_estimate}
• Recent {trade_make} {trade_model} sales in our market: {local_range}
• What moves the number up: service records, second key, tires above 5/32, clean interior
The online tool cannot see any of that, which is why in-person appraisals usually land higher. Bring the vehicle, the title or payoff info, and both keys, and we will hand you a written offer in about 10 minutes. It is good for 7 days and there is zero obligation to buy anything.
Two openings I can hold for you: {time1} or {time2}.
- {agent}
{dealership} | {phone}Email - credit-challenged lead, no answer after 2 calls
Aged subprime lead. Remove the shame, remove the guesswork, keep it short.
Subject: Where you actually stand, {first_name}
Hi {first_name},
I have not been able to reach you, so I will keep this simple and honest.
A credit score by itself does not decide this. Our lenders look at income, time on the job, time at your address, and money down. Plenty of customers who assumed they would be turned down are driving something today.
There is no charge and no obligation to find out. Bring two pay stubs, a proof of address, your license, and your down payment, and we will tell you the same day exactly what you qualify for.
Reply with a day that works, or call me directly at {phone}.

{dealership}Cadences
Best practice: a lead is not dead until it says no or opts out. Rotate channel and time of day on every touch, log the outcome after each attempt, and move unworked leads into a 30/60/90-day re-engagement list rather than closing them out. Most sold appointments come from touches 4 through 8, which is exactly where most stores quit.
14-day fresh internet lead cadence (recommended)
The default 7Social Automotive multi-touch cadence - designed to maximize contact rate while staying under spam-flag thresholds.
Day 0 (within 5 min): Text 1 (immediate) + Call 1 + Email 1 (photos/video) Day 0 (within 2 hr): Call 2 (different time of day) Day 1: Call 3 + Text 2 (offer 2 specific appointment times) Day 2: Email 2 (out-the-door price + Carfax) Day 4: Call 4 + Text 3 (price/incentive update if any) Day 7: Email 3 (soft check-in) Day 10: Call 5 + Text 4 (manager intro / trade offer) Day 14: Email 4 (close-the-loop "all set?" message) After Day 14: drop into 30/60/90-day re-engagement workflow.
Pro tips
- Vary time of day on call attempts - morning, lunchtime, evening.
- Never send two outbound messages in the same channel back-to-back without a response.
- Stop the cadence the moment the customer engages - switch to a human conversation.
No-show recovery cadence (5 touches over 72 hours)
Run this when an appointment is missed - recovers 25 - 35% of no-shows.
+30 min: Text - gentle "didn't see you, want to reschedule?"
+2 hr: Call - light voicemail, mention the unit is still available
+1 day: Text - propose two new times
+2 days: Email - manager from {dealership} note + new incentive
+3 days: Call - final attempt, then move to long-term re-engagementCredit-challenged lead cadence (10 days, document-driven)
Use on finance applications and subprime leads, where the goal of every touch is one more document, not one more pitch.
Day 0 (under 5 min): Call 1 (income, time on job, money down) + Text with the 4-document checklist Day 0 (evening): Call 2 at a different time of day Day 1: Text - "which day can you bring the stubs in?" with two specific times Day 2: Email - "where you actually stand" (no-shame explainer + document list) Day 4: Call 3 - mention any lender program or down-payment change Day 6: Text - offer to start the application before they arrive so the visit is 20 minutes Day 10: Email - final close-the-loop, then move to the 30/60/90-day re-engagement list Never restate the score back to the customer, and never quote a rate before the lender answers.
Pro tips
- Score every touch by documents collected, not by contact attempts logged.
- Confirm the down payment amount in writing before the appointment.
Objection Handling
Best practice: acknowledge the objection in the shopper's own words before you answer it, give one honest sentence of information, then bridge straight back to a specific appointment time. Never argue price over text or email, and never promise numbers the desk has not approved. The goal of every rebuttal is a visit, not a debate.
Objection - 'I'm just looking / just researching'
Use to keep the conversation alive instead of closing it.
Totally fair - most of our customers start exactly where you are. Honestly, the easiest way to research is to drive one in person for 10 minutes; it's faster than another hour online. I'm not going to push anything on you. Want me to pick a time that's low-pressure - early morning or evening when it's quiet?
Objection - 'The payment is too high'
Reframe from payment to structure, then re-engage.
I hear you - the number's only one piece. Payment is really three levers: down payment, term, and rate. If we move any one of those, we can almost always land you where you want to be. What number do you want to be at, monthly, and what down are you comfortable with? I'll come back to you with two or three options.
Objection - 'I need to talk to my spouse'
Recognize the buying signal and lock the next step.
Totally - big decision, makes sense. Quick question so I can help you both: is it the vehicle they'll want to weigh in on, or the numbers? Either way, why don't we set a quick 15-minute visit when you can both come in - that way you're deciding off real information together instead of me texting you back and forth. Does Saturday morning or weeknight evening work better for the two of you?
Trade-in objection - 'I owe more than it's worth'
Negative equity stall. Keep it honest, keep the appointment.
That is more common than you would think right now, and it is not a dead end. Two things fix it: the equity gap shrinks every payment you make, and rolling a smaller amount into the right unit with the right term can keep your payment flat. I am not going to promise a number over text - what I can do is have the desk run your exact payoff against two or three units that work at your payment, and show you the math side by side. Are you around {time1} or {time2}?Objection - 'My credit is bad, I won't get approved'
Most common self-disqualifier on subprime leads. Answer honestly, then book.
I appreciate you being straight with me. Here is the honest version: I cannot promise an approval, and I would not trust anybody who did over the phone. What I can tell you is that we submit to {lender_count} lenders, several of them look at income and job history more than the score, and money down changes the answer more than almost anything else. Finding out costs you nothing. Can you get here {time1} or {time2} with pay stubs and your license?
